organising an event of this scale is gonna take quite alot of planning and decision making

collect ALL applicant details and group them according to age & gender, make sure there is an even mix.

Me thinks clubbing is not feasible, simply because not everyone's a fan of that. Yeah dancing might be a great way to get to know people, but it's definitely not everyone's cup of tea. You can just imagine the clubbers on the floor, and everyone else on the side staring at their colas feeling out of place.
I think a bbq would be great. Anything bigger such as a fun fair at the beach would involve impossible amounts of logistics and planning, and i'm dead sure no one would be willing to commit, monetary issues aside. That said, i think it'll be a great idea for people who wish to attend to RSVP first. Once we've got the list, the organisers can then have a mini buddy system, pairing people up randomly. Each pair of 'buddies' would then have to meet up separately first, before attending the bbq (or whatever it is planned). This might prevent individuals from feeling left out at the event. Alternatively, pairs could be increased to groups of 4, if organisers are concerned about the safety of our younger individuals for example. It doesn't have to be gender specific as well.
Next, we definitely have to have a group of 'cheer leaders' of sort, who would be incharged of getting everyone involved during the event, be it through games and such. They would have to be the ones taking the initiative to befriend those straggling alone behind the group, and try to encourage them to integrate as a community. Of course, it would be great if they are comprised of our beloved moderators, but volunteers should not be discouraged as well.
These are just simple suggestions that came to mind. Some might be worried that having a bbq might not be large enough to accommodate everyone. Perhaps. But I think we shouldn't count our eggs before they hatch. First, we need to see the response of everyone, maybe by having Maverick take a poll or something. Next, we must realise that this would be the inaugural club wide outing that's taking place. We should start with small steps, something less ambitious with less logistical headache. IIRC, booking a club for a night can cost around 3-5k. I've nothing against clubbing really, I guess I'm just being practical.

To prevent people from being left out! pair/group people up randomly! so when you reach look for your partner/group!! and then start from knowing them well first. at least people who are alone has a group to go to/follow (:
From there we can move on to knowing others~ hoho!
I believe this can be planned no matter what kind of event it is right!
